Parish Lantern Films Ltd is a small independent UK based production company who make content for broadcast, online, social media and other similar purposes.

What we do with your data
Parish Lantern Films Ltd process and uses your data, such as name, address and contact details to confirm we have received express consent from you to participate in our photo/video content, to contact you to arrange filming, to contact you for any other production purposes, to perform our contract with you, to fulfil our obligations to the broadcaster and as necessary for accounting and managing our business operations. We will not sell your data to any 3rd parties and will only disclose data if required to do so by law or to our business partners for accounting and managing purposes.

How we store data
All personal data is kept securely to protect against unauthorised access, alteration, disclosure or destruction of your personal information. All photos and video content are stored on our password-protected computers and devices and we have antivirus software installed. We use some software as part of our workflows that stores data and metadata including:

  • Final Cut Pro for film editing
  • Adobe Photoshop/Lightroom for photography editing
  • Xero accounting software. This is shared with our accountants RW Accountancy Solutions Ltd.
  • Hubdoc document management software. This is shared with our accountants RW Accountancy Solutions Ltd.

We understand that data stored on these systems cannot be deleted for legal reasons including the following:

  • Public liability and indemnity insurance purposes.
  • Data (including film footage and archive material) may be required in future productions.
  • We need to be able to defend our work and back reference projects in case of a legal challenge.
  • Compliance for TV/film
  • Accounting, it is a requirement that all invoices and company paperwork should be retained for 7 years for HMRC VAT purposes and longer for income tax purposes.

Photography/Filming
If you contribute to a Parish Lantern Films Ltd production, you will be asked to complete a contributor contract, these contracts will be kept for as long as the production remains active. Your contribution will remain as part of that published work and as part of the rushes and research material that support that work. For legal reasons, we are required to retain information in the event that we need to defend published work.

Photography/Filming in public areas or events
When filming in public areas or events, Parish Lantern Films Ltd will display filming notices prominently to inform members of the public filming is taking place and what it is for. We will always try to inform people of filming and it’s purpose when possible and will wear hi-visibility jackets marked ‘film crew’ so members of the public not wishing to be filmed may inform us or move to an area where they will not be filmed. It is not necessary to get the consent of people whose image may be captured incidentally in the background of shots.

Withdrawing consent
Each data subject has the right to withdraw his or her consent even after signing the consent form. Any such withdrawal should be made in writing or by email to Parish Lantern Films Ltd. Once consent is withdrawn we will not use the relevant images again, however, it is not normally possible to recall productions in which they have already appeared.
